How to manage reservations in the Reservics dashboard

Reservics lets you manage every reservation from the Bookings page in your Shopify admin. Use the status tabs (All, Confirmed, Pending, Seated, Cancelled, No-show) to filter the list, search by name or email, and open any booking to edit details or change its status. You can also add phone and walk-in bookings, send bulk reminders, and export to CSV.

Before you start #

  • The Bookings page is in the Reservics app inside your Shopify admin.
  • Creating, editing, and status changes work on every plan, including Free.
  • CSV export and bulk reminders are Pro+ features. See the table below for plan details.
  • A Calendar view of bookings is coming soon. Today the Bookings page shows a list.

The Bookings list #

The Bookings page is your home base for daily service. It shows all reservations in a single list with tools to find the one you need.

  1. Open the Reservics app in your Shopify admin and select Bookings.
  2. Use the status tabs across the top to filter: All, Confirmed, Pending, Seated, Cancelled, or No-show.
  3. Search by name or email to jump straight to a diner’s booking.
  4. If you run more than one venue, use the location filter to show bookings for a single location.
  5. Select one or more bookings with the checkboxes to use bulk actions (send reminders or change status).

Accept a pending booking #

A booking is Pending when it is awaiting payment or manual approval. The seat is held while it waits.

  1. Open the Pending tab.
  2. Click the booking to open the booking detail view.
  3. Change the status to Confirmed to accept it. The seat stays reserved.

If your location uses auto-confirm, bookings skip Pending and arrive as Confirmed. If you use manual approval, every booking starts Pending until you accept it.

Mark a no-show or seat a guest #

Keep statuses current during service so your capacity and reports stay accurate.

  1. When a party arrives, open their booking and set the status to Seated.
  2. After they leave, set the status to Completed.
  3. If a party never arrives, set the status to No-show. This releases the seat and can trigger a waitlist offer if you use the waitlist.

Create a phone or walk-in booking #

You can add bookings yourself for diners who call or walk in.

  1. On the Bookings page, click Create booking.
  2. In the modal, choose the location (if you have more than one), set the party size, date, and time.
  3. Enter the diner’s name, email, and phone, plus any custom fields you have added.
  4. Save. The booking appears in the list like any storefront booking.

Reservics still checks capacity, so it will not let you overbook a slot.

Edit a booking #

Open any booking to make changes.

In the booking detail view you can:

  • Edit the date, time, party size, and any custom fields.
  • Change the status (Pending, Confirmed, Seated, Completed, Cancelled, No-show).
  • View the deposit and issue a refund (if a deposit was paid).
  • See the linked Shopify customer record.
  • Add internal notes for your team.

Send bulk reminders (Pro+) #

Remind several diners at once instead of one by one.

  1. On the Bookings page, select the bookings you want with the checkboxes.
  2. From the bulk actions menu, choose Send reminders.
  3. Reservics sends the reminder using your email template. Sending is best-effort and never blocks a booking.

Export bookings to CSV (Pro+) #

Export your filtered or selected bookings for accounting, planning, or backup.

  1. Filter or select the bookings you want.
  2. Click Export CSV.
  3. Reservics downloads a UTF-8 file (with a BOM so it opens cleanly in Excel).

The CSV includes these columns: Code, Customer, Email, Phone, Date, Time, Party, Table, Location, Deposit, Status, and Notes.

Reservation statuses explained #

StatusWhat it means
PendingAwaiting payment or manual approval. The seat is held.
ConfirmedAccepted and reserved.
SeatedThe party has arrived and is at the table.
CompletedThe visit is finished.
CancelledThe booking was cancelled. A refund is issued if within the refund window.
No-showThe party did not arrive. Releases the seat and can trigger a waitlist offer.

Frequently asked questions #

How do I accept a reservation in Reservics? #

Open the Bookings page, go to the Pending tab, and click the booking. In the booking detail view, change the status to Confirmed. If your location uses auto-confirm, bookings arrive as Confirmed and need no action.

How do I mark a no-show? #

Open the diner’s booking and set the status to No-show. This releases the held seat and can trigger a waitlist offer to the next diner in your queue if you use the waitlist feature.

Can I add a walk-in or phone booking myself? #

Yes. On the Bookings page click Create booking, then enter the location, party size, date, time, and the diner’s contact details. Reservics checks capacity so you cannot overbook a slot. This works on every plan, including Free.

Can I export my reservations? #

Yes, on the Pro and Advance plans. Filter or select the bookings you want and click Export CSV. The file is UTF-8 with a BOM for Excel and includes the code, customer, contact details, date, time, party, table, location, deposit, status, and notes.

Is there a calendar view of bookings? #

A calendar view is coming soon. Today the Bookings page shows your reservations as a list with status tabs, search, and filters. Drag-to-reschedule on the calendar is also planned.

Can I issue a refund when I cancel a booking? #

Yes. Open the booking, view the deposit, and issue the refund from the booking detail view. Refunds go back through Shopify. Eligibility depends on the location’s refund window. See No-show fees and refunds.
